A Tuscan wedding is a very much desired experience to tie the knot in an unforgettable way. There are many Tuscany villas and gorgeous settings in the region offering an idyllic location for both your wedding ceremony and celebrations. Some properties are large enough to welcome the newly wedded and all their guests. It is the perfect solution for an intimate wedding with friends coupled with celebrations and a honey moon in Italy. When it comes to it, however, choosing the perfect property in Tuscany for the perfect wedding isn't easy! There are many criteria you have to take into account, but the most crucial ones are the season you want to get married in, how many guests you have, and whether you should consider hiring a local wedding planner.

How Many Guests Do You Have?

If you are considering to enlarge your wedding party from just you very best friends and family members, it is fundamental that your desired Tuscan villa has enough comfortable room for everyone. This is going to be a vacation you are offering to your dear guests. Some have children, some may not be very fond of one another. You have to consider that just a bed-count might not fit the needs of the group. You cannot just group people that do not belong together under an intimate accommodation. So make sure everyone will be happy with their arrangements. Fortunately, Tuscan villa owners are very helpful with this, and will sort the room arrangement for you. In case your wedding is going to be really grand, then you may need extra properties in the area. Some owners have castles and nearby apartments. In other cases you will need to arrange two or more separate accommodations.

The Right Season

The months with the fairest weather in Tuscany are those going from April until October, while from June to September you have the high season when most weddings are celebrated. These are the months you should avoid, since they are the busiest, most crowded and expensive. It is harder to find suitable villas during the peak months, while all other service providers are less available and more stressed out. It is true that chances of getting rained in are very slim during this time frame, but June and September are also great candidates to have the highest number of sunny days. In order to make sure you get your accommodation, book it a couple of years in advance; this will also give you enough time to visit the property personally and solve any logistic issues.

Is a Wedding Planner Necessary?

Even if you are a natural-born organizer, planning a wedding abroad may be challenging. Most people would benefit from a Tuscan based wedding planner, at least to accomplish the prominent wedding duties such as paperwork, church or state house arrangements, florists, catering and the photographer. However, if your party is small in size, then you will probably be just fine without a wedding planner. Depending in the Tuscan villas you are renting, you may even find wedding services are catered with your rental for an extra fee.

Creating the guest list for your wedding can be one of the most challenging tasks you need to complete. A dress? A venue? They are simple decisions when compared to deciding who you want to include in your big day. You don’t want to leave anyone out, and you don’t want to invite everyone. To make things a little easier, here are the people you should never invite to your wedding.

Your Ex-Boyfriends/His Ex-Girlfriends

It’s surprising how often brides and grooms have a difficult time deciding whether or not to invite their exes. It should be a no-brainer. If you invite your good work friends, you might be obligated to invite everyone else from your office as well so no one feels left out. Don’t do it. This is your wedding, and you shouldn’t invite anyone you don’t enjoy spending time with. If you don’t want them to feel left out, just avoid talking about your wedding while you’re at work.

Friends You Haven’t Talked to in Years

Maybe you had a close college roommate you did everything with, or close friends you used to talk about your dream weddings with. When you’re planning a wedding, it’s easy to get nostalgic and want to invite everyone who is or was important to you. If you haven’t talked to these friends for years, you shouldn’t invite them to your wedding. It’s a little weird to decide that the first contact you’re going to have with them in a long time is sending them an invitation to your wedding.

People Your Mom Wants You to Invite

If you have a mom who is super excited about your wedding, she probably has a guest list already created for you. She is so happy for you that she wants to share her joy with all the important people in her life, even if they’re kind of irrelevant in yours. You shouldn’t feel obligated to invite anyone just because someone else in your family wants them there. It is about what you want, and everyone you invite should have a direct connection to you.

When you’re inviting single friends, you have to make the decision of whether or not to allow them to bring a date. If you understandably don’t want to pay to have people at your wedding that you barely know, you won’t allow dates other than people in well-established relationships. Everyone watches with anticipation to see what gown, veil, and wedding jewelry the bride will be wearing when she makes her appearance at the back of the church. The same level of interest is not really there for what the groom is wearing, but that does not mean that his outfit is unimportant.

After all, the bride and groom will be seen together all throughout the wedding and in the photographs for eternity. Get some easy tips on matching the bride and groom's wedding attire to make sure that the newlyweds look picture perfect matching outfitstogether.

When we talk about matching the bride and groom's attire, what that really means is that their general style is complementary. This is a fairly easy task. Most brides have a strong sense of what image their wedding dress and accessories convey.

One bride might declare that her gown is the ultimate in simple elegance, while another bride has chosen the perfect dress for a romantic garden wedding. Some brides might go for drama in their attire and custom wedding jewelry, while others prefer a retro feeling. When the bride can define the general style of what she plans to wear, that concept can then be applied to the groom's suit or tuxedo.

If your fiancé is up for it, he can even wear a hat.

When the bride's dress is very modern or cutting edge, the groom should follow suit (pun intended!). Any suit can be given a more unique character by choosing a shirt in an unexpected colour like deep aubergine or cobalt blue. Just don't choose boutonnairesa colourful suit, or you might bring to mind the dreaded powder blue tuxedos of the 1970s! A sleek cut suit will be the most contemporary looking. Add a modern touch by wearing a creative boutonniere. Instead of a traditional rose, go for something more unusual like a succulent or a whimsical boutonniere made from found objects.

Naturally a theme wedding calls for the groom to match the theme. So if you are having a Goth wedding, he should wear a black suit (and maybe a skull and crossbones tie!), or a linen suit for a beach wedding, and so on. When the bride and groom take care to coordinate their attire, they will look absolutely flawless together.

We have all heard that rain on the wedding day is good luck. This saying was probably invented by the mother of a heartbroken bride whose wedding was rained out! The truth is that no one wants a rainy wedding day. That said, even the most organized bride can't control the weather, so it is important to have plans in place for bad weather. This is how you can rescue a rainy wedding day to ensure that bad weather does not spoil your wedding.

A rainy wedding day is a major headache if you have planned an outdoor wedding. This is why any outdoor ceremony or reception must have a backup plan in case Mother Nature decides not to cooperate. A tent is often the easiest solution. Be sure to rent one with sides which can be rolled down so that a deluge does not invade your wedding reception. You may also need to rent a floor to put inside the tent, especially if rained in the days leading up to your wedding. Your guests do not want to be slogging through a muddy swamp all dressed up in their finest attire and crystal wedding jewelry, after all!

A tent is not a practical solution for every wedding venue, so the threat of rain may require moving the event to an indoor room or a covered porch. Although that is not the ideal, it sure beats getting soaked. Whenever a couple is visiting potential sites for their outdoor wedding, they should be sure to inspect the backup plan for rain. If you really do not like the venue's indoor spaces or there simply is no available indoor space, keep looking for another venue! The last thing you want is to wake up on the morning of your wedding and realize that the wedding is going to be completely rained out.

Even for an indoor or tented wedding, it is very thoughtful to station a couple of ushers near the parking area to escort your guests to the ceremony site. If you don't have ushers at your wedding, round up some uncles and cousins to do the job. Also be sure to set up a place in the vestibule or foyer of the venue where guests can hang up wet raincoats and umbrellas.

brideinrainAs for the bride herself, keeping a long wedding gown dry on a wet day is a major concern. It is ideal to cover the gown in waterproof bags and get dressed at the ceremony site. The trick is to cover the long bridal garment bag with a second plastic bag. When you reach your destination, tear off the outer bag and discard it before opening the inner garment bag – that will ensure that no moisture reaches the wedding gown. When it is necessary to get dressed at home and travel to the ceremony in the gown, veil, and crystal wedding jewelry, enlist a group of assistants to keep the wedding gown and train lifted above the wet ground. Definitely plan to wear your rain boots on the way to the venue and change into your silk bridal shoes at the last possible moment.

Another consideration for brides faced with a wet wedding day is their beauty routine. You know your hair best, and how it will react to a damp humid day. It may be that the loose flowing waves you had planned for your wedding hairdo will turn into a frizzy disaster on a rainy day. In that case, a quick change to a low bun or up-do might be in order. Naturally, you will want to take care to keep your face completely dry so that your makeup does not run.

While rain on your wedding day is not ideal, it definitely does not have to spoil the fun. Remember that a good attitude is your best defence against any wedding mishap – if you are upbeat and having a great time, your guests will feel the same way, no matter what the weather may be like. And who knows – maybe the old saying that rain on your wedding day is lucky just might turn out to be true for you

I’ve had people ask me – so how much does a good wedding cost ? And to be honest – there is no correct answer for that ! What is considered a good wedding budget ? In India – for the crème-de-la-crème of society, the more money spent on the wedding determines how good it is.  The more talked about a wedding is – lets people know ‘wow now that was a good wedding’

But when it comes down to reality – not everyone is a multi-millionaire – and therefore when planning a wedding – budgets are essential.  It’s easy to get carried away and spend beyond our means because its such a special occasion.  Over the years I have found that whilst dealing with wedding couples and their families – that they would have considered the main cost headers but tend to forget the smaller details which in fact add up to a huge sum of money.

With this post – I’m going to outline the main cost headers (in no particular order) and will create subsequent posts with more details on each topic.  There’s a lot more to look in to than most of us care to think about.

Venue.  Depending on the number of functions one has for the wedding, the number of venues will differ.  Typically for an Indian wedding there are 3 functions : Cocktail Party, Mehendi & Sangeet; and the Wedding Ceremony followed by Reception.  For American / European weddings there tend to be at least 2 functions – Ceremony and Reception – usually at different venues.  Most venues will quote an X rate for a minimum guarantee of guests and this will include the use of the venue space; the cutlery, crockery & linens; the waiting staff; basic table decor; and 3-4 courses for the menu. 

Food & Beverage.  Most venues will not include soft beverages and alcohol in their menu rate.  However it never hurts to ask to include soft beverages as part of the rate.  Alcohol will always be charged separately.  In India there is a separate tax structure for alcoholic beverages which ranges from 22% to a whopping 33% !  A 5* hotel alcohol bottle rates will be almost 3-5 times the price of the market rate so be prepared for that.  Some hotels and venues will allow the wedding group to bring in their own alcohol but will charge a corkage on that. 

24 Decor & Floral Arrangements.  A wedding wouldn’t really be a wedding without the decor and floral arrangements – and with themed weddings being the most popular – a large chunk of the budget goes towards getting the decor and flowers to match the theme.  It could be an elaborate theme wherein a ‘set’ is created with a complete stage, backdrop and entryways.  Flowers aren’t exactly cheap – and the more exotic the range of flowers are – the more expensive it is.  I’ve had to fly out flowers from Thailand as they weren’t available in India and that significantly increased my clients’ budget – but they got what they wanted.  At the end of the day – if the bride wants Orchids or Casablanca Lilies or Lisianthus – then that’s what the bride is going to get.

Photography.  Everyone wants their wedding day to be captured perfectly; andwedding_photographer that means hiring a good wedding photographer and videographer – which don’t come cheap – especially during peak wedding season.  Before selecting your photographer and videographer – you should have an idea of what kind of look and feel you want for your wedding pictures.  Candid photography is very popular with the new age couples as it is more natural and guests don’t look like they are forced to smile !  The cost of a package varies depending on how many photos are taken; how many prints selected; style of wedding album; if you are taking a digital album or a coffee table style album.  Videography.  The same concept applies to wedding videos – nowadays couples prefer video documentary / journalistic or even the ‘MTV’ style videos.  The cost fluctuates depending on the packages and the quality of the video; how many videos are used; the length of each DVD; if you are having same-day edits to use as giveaways each day to guests etc.

Red & Silver Indo Western Corset Bridal Attire, Hair & Make-Up.  Let’s get one thing clear here – it’s your big day and you want to feel like a princess or a fairytale bride – and that is not going to come cheap ! The bridal outfits can cost an arm and a leg; not to mention all the jewelry and accessories such as sandals and bags to match the outfits.  I know of a few brides who’ve tried to skimp on their hair and make-up and that is NOT a good idea ! The wedding photos and videos will highlight this and its not a pretty sight ! Hair and Make-up services in India start from Rs 10,000 ($200) to Rs 50,000 ($1100) depending on who the stylist is.  It may sound like a lot of money to spend but it’s worth every penny of it !

Entertainment, Sound & Light.  Every wedding has some sort of entertainment factor whether it be in the form of a traditional jazz band, a DJ, a cultural folk dance.  With entertainment comes the need for proper sound and light and depending on the size of the venue and kind of space being used (i.e Indoor or Outdoor) – the costs will vary.  A lot of the Indian weddings I have organized over the years have involved international artistes performing at them – and those come with tech riders that cost almost as much as the artiste themselves; not to mention the additional travel and accommodation that has to be paid for them to be there. 

Invitations, Gifts & Wedding Favours.  Let’s face it – there are certain costs that can’t be avoided and one of those is that of the wedding invitation.  Depending on   the style of your wedding invite the price can range from Rs 80 ($1.50) to Rs 5000 ($111) per invite (depending on the style, texture, paper quality, and add-ons).  That’s just for the invitation and doesn’t include the cost of postage or  courier services.  Then there are invitations that come with gift boxes and dry fruits which adds to the total price of the invitation.  Of course there are the younger couples who are nowadays sending Save The Date notices via Emails or sites such as Evite.com which saves the families a fair amount of money.  RSVP cards are more of an American and European trend; however the Indian families are grasping on to that now and also sending RSVP cards for guests who are invited from overseas.  I strongly advise families to use Email and Telephone options for RSVPs instead of sending an additional card (because with that you’d have to include the postage etc)

There’s just one more point you should keep in mind - whether or not you are using  a Wedding Planner to help you with the wedding.  The charges of a wedding planner tend to be a percentage of the overall spend on aspects of the wedding that they are rresponsible for coordinating.  To make things simple – if you are spending $20,000 on the wedding – the wedding planner fees will be e.g. 15% of $20,000 and this will include all coordination, follow-ups, negotiations, budgeting, check lists, correspondence & communication with the various vendors and yourself. 

The purpose of using a wedding planner is to avoid the stress and hassle that the bride and family have to go through in the weeks / months prior to the wedding.   Wedding planners get up to 40% discounted rates than what is quoted to the bride / groom for venues with catering; and as they tend to have tie-ups with various decorators and florists – the rates that they offer the bride & groom tend to be lower than what the couple can get on their own.

There you have it – the core essentials that make up the wedding budget for any style of wedding.  Obviously each header has multiple sub-points that must be looked into – and I shall go into more detail on those points over the next few posts.

I am tucked in bed, nursing a very bad headache that refuses to go away despite the pills I’ve popped to stop it.

Was on my way back home with my colleague MG and our in-house decorator – and she pointed out to me that it looks like I really need a lot of rest ! Tell me about it .. even last week when I was down with the flu – I was having trouble sleeping because I was so busy thinking about all the pending to-do items on my clients’ upcoming wedding … which is only 13 days away …

On another note .. there have been two articles posted about me on WeddingSutra.com which a portal for weddings.  That’s pretty cool =)  I’ve also been meaning to start writing about the process of event & wedding planning; tips – guides; and also sharing some of my work .. and I really want to do that on my own custom blog domain … which I really need to get working on !

I’m gonna go catch some shut eye now .. but I’m happy to say that I’ve got a bunch of posts already in progress … there have been a handful of blogs that I’ve been reading and they’ve totally inspired me to write on some topics which I haven’t really ventured into.
